Position Overview

S:US is seeking a Fleet Administrator within the Procurement Department.

 

This position is located at 7th Avenue New York, NY 10018

 

 

SCOPE OF ROLE:

The Support Services functions at S:US are carried out by a team of professionals with differing backgrounds who share deeply in the S:US mission. The Procurement Department is seeking a detailed-oriented, organized and innovative individual to join our Procurement & Fleet Team as a Procurement Specialist. The selected candidate will report to the Procurement Manager and/or Procurement & Fleet Director.  The selected candidate will be responsible for identifying and procuring quality goods and services for the company at the most competitive rates as well as building strong working relationships with suppliers as well as departments that will result in more efficient and effective procurement strategies.

 

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Administration and coordination of the Company’s fleet vehicle program.
  • Update and maintain the program policy, address employee questions regarding the policy.
  • Scheduling defensive driving training sessions for SUS employees.
  • Coordinate with HRIS team and DMV LENS new employee enrollments and terminations for the fleet program. Maintain driver eligibility status in MS Sharepoint.
  • Maintain accurate and complete files for all SUS fleet vehicles.
  • Monitor and handle car accidents. Follow up with Insurance claims.
  • Ensure all vehicles are properly maintained by employees in accordance with the Fleet Policy.
  • Assist Fleet Manager with cost reporting for vehicle usage - mileage, fuel, repairs, GPS service etc.
  • Handle all traffic violations.
  • Handle vehicles licensure and registration
  • Assist Procurement & Fleet Director and Procurement Manager with performing various audits to verify and enforce compliance with the Fleet Policy.
  • Assists Procurement & Fleet Director and Procurement Manager in communication to businesses of new supplier agreements and follow-up on submitted ideas from business for Vehicles Procurement and Service.
  • Assist with purchasing vehicles to expand and/or enhance the fleet.
  • Provide data analysis on vehicles usage, spend analytics and administrative work associated with improving ERP system.
  • Analyze invoices to ensure accuracy of services provided.
  • Create proper allocation reports for all Fleet related invoices and submit them to Finance a/p dept.

Job Requirements

REQUIRED EDUCATION AND EXPERIENCE

  • High School Diploma or its equivalent. 
  • Proficiency with MS Excel, Word and Outlook. Solid knowledge of Excel Formulas, V-Lookup and Pivot tables is required.
  • Solid communication and customer service skills.
  • Must have valid NY/NJ/PA/CT driver license.

 

PREFERRED EDUCATION AND EXPERIENCE

  • Bachelor’s degree in business or supply chain preferred.
  • Prior Fleet administration experience preferred.
